GEL Events ("GEL", "we", "us") provides onsite event check-in and badge-printing services. This policy explains how we collect, use, store and protect personal information in line with South Africa's Protection of Personal Information Act, 2013 (POPIA).
1. Who we are
GEL Events is an event check-in and badge-printing provider based in Sandton, Johannesburg, with staff and equipment in Durban and Cape Town, operating nationally across South Africa. For any privacy queries, contact us at info@gelevents.co.za.
2. The information we process
When you engage us for an event, the event organiser (our client) provides us with an attendee or guest list so we can run onsite registration. Depending on the event, this may include:
- Name and surname;
- Company or organisation, job title and role (e.g. attendee, speaker, exhibitor, staff, VIP);
- Email address and contact number;
- Badge and access details, including QR/barcode identifiers; and
- Check-in, session-attendance and scan records captured onsite.
If you contact us directly through our website enquiry form, we also process the details you submit (name, company, email, phone and your message).
3. How we use it
- To prepare and run onsite check-in, badge printing and access control;
- To provide attendance reporting and analytics to the event organiser;
- To respond to enquiries and quote requests; and
- To meet legal, accreditation (e.g. CPD) and contractual requirements.
We process attendee data on behalf of, and on the instructions of, the event organiser, who remains the responsible party for that data. We act as an operator under POPIA.
4. How we protect it
We apply appropriate technical and organisational measures to safeguard personal information, including secure workflows, controlled access limited to authorised onsite staff, and the principle of using data only for the agreed event purpose. We retain personal information only as long as necessary to deliver the service and meet legal obligations, after which it is securely deleted or returned to the organiser as agreed.
5. Sharing
We do not sell personal information. We share it only with the event organiser who engaged us, and with trusted service providers strictly as needed to deliver the service, under appropriate confidentiality and data-protection terms, or where required by law.
6. Your rights
Under POPIA you have the right to access the personal information we hold about you, to request correction or deletion, and to object to processing in certain circumstances. As we usually process attendee data on behalf of the event organiser, we may direct such requests to them. To exercise your rights, contact info@gelevents.co.za.
